Change the Status of a Student

You can change the status of a student.

   Review the training (Anthology Academy registration and login required):

Student Status Change  (2 min.)

Student Status Change - Active to Withdrawn or Drop  (3 min.)

Student Status Change - Active to Leave of Absence  (2 min.)

Changing Student Status from Active to Pending Graduate  (2 min.)

Changing Student Status from Pending Graduate to Graduate  (4 min.)

Prerequisites

You must have:

• Common - Student - View authorization

• Academics - Student Enrollment Period - Edit authorization

Access Method

Select the Students tile > select the name in the Students list > expand Academic Records > select the Status History tile.

Procedure to Change Student Status

The grid shows the items for the program version for the current enrollment (if any). Use the Program Version drop-down to change the program version. You cannot select All Program Versions.

1. Highlight the record and click the Change Status button.

2. Specify the following values.

   Comment Area you can use to specify comments or additional information about a change or a request. Current Status The current status of a student.

   New Status The updated status after the status change. Reason Reason for the change in a record or a value in the record.

3. Specify the following additional values based on the New Status that you select.

   New Status	Fields Displayed Based on Selected Status
   Application Not Accepted	Status Date The date when the status was last changed.
   Application Received (or Applicant Category)	N/A
   Attending	Effective Date The date when the item is effective and can be used. The date the status change is effective.
   Being Processed	N/A
   Cancel	Status Date The date when the status was last changed.
   Complete	Date Complete The number of the transaction., Last Day of Attendance The day the student last attended a class in this program version. In Anthology Student, audit courses are courses that do not require course work or participation. While you can take attendance for audit courses, they do not update the last day of attendance (LDA) per the guidelines of the U.S. Department of Education. If you want a course to update the LDA for students, a course must take attendance and not be an audit course (such as a course taken, retaken, or repeated). The updated LDA value will be populated immediately in all forms that have the LDA field (Student Profile, Enrollment, Status History, etc.)., Remove Attendance Records Back to LDA Indicates that any attendance records submitted after the last day of attendance will be removed.

   Standard Period of Non-Enrollment	SPN Start Date The start date when the student will be out of the enrollment. The SPN period should be approved by the institution. SPN Return Date The date when the student is required to return to the course. If the student does not return by the approved date, it will be considered as a withdrawal.
